Copy-and-paste enquiry template
The fastest enquiry includes seven lines. Copy the block below into an email and fill it in:
Product: pet bag type / material specification / order quantity
Quantity: total pieces and split per colourway or size
Target dimensions: length x width x height, and animal weight to be carried
Destination market: EU / US / UK / other
Packaging: bulk polybag / printed box / header card / FBA prep
Target price: FOB per unit, or leave blank for our costing
Timeline: required delivery month
Documents that ship with every order
Each shipment travels with a commercial invoice and packing list, a country-of-origin declaration, the inspection report at the agreed AQL level, and the test reports for the specific dye lot used. Buyers selling into regulated markets also receive the applicable restricted-substance statement and, where required, children's product tracking label artwork. We keep one retained sample per style per production run for twelve months.
Sampling and revisions
First prototypes are built from the approved tech pack. Revisions focus on fit, structure, branding placement and labelling, and normally take 3-5 working days per round. Sample costs are credited against bulk orders above MOQ, and we keep one approved reference sample per style for production comparison.
Two worked timelines
Retailer seasonal programme. Enquiry in March, tech pack and costing by mid-March, two sampling rounds across April, approval in early May, bulk production through June and July, inspection and loading in August for a September shelf date.
Marketplace relaunch. Enquiry in month one, single sample round in month two using standard materials already in stock, approval immediately after, a 500-piece first run landing roughly 45-55 days after enquiry, followed by a reorder decision based on sell-through.
The twelve fields a wholesale enquiry needs before a price can be issued
A wholesale price is assembled from a list of decisions, and every missing decision becomes a question that delays the quotation. The twelve fields below are what our production team needs before it can return a number that survives to the invoice. Most enquiries arrive with six of them; the ones that arrive with twelve get a priced answer without a second round of clarification.
| Field | Why it moves the price | What we assume if blank |
|---|---|---|
| Style reference or spec sheet | Fixes pattern, marker and labour | An assumed construction |
| Quantity per colourway | Sets the tier against 500 | Lowest assumed tier |
| Number of colourways | Sets dye lots and setup count | Single colourway |
| Colour standard | Pantone TCX or approved swatch | Shade cannot be committed |
| Size split | Drives marker efficiency | Even split |
| Shell fabric and denier | Largest material cost | 600D polyester |
| Lining, mesh and padding | Second material cost | Standard spec |
| Hardware gauge and finish | Stocked or booked | Black stocked hardware |
| Baseboard and frame | Weight band and board thickness | 5 mm board |
| Market and compliance scope | Test set and documentation | EU and US baseline |
| Packaging and barcode | Carton spec and labour | Bulk pack |
| Term, port and target date | Incoterms 2020 and the slot | Indicative, no slot held |
Two fields are habitually skipped and both cost money. Compliance scope: a bag destined for the EU is assessed against REACH, for the US against CPSIA and Proposition 65, for Great Britain against UKCA, and for a childrens article against EN 71, and that test set is priced into the programme rather than added later. Packaging: a retail-ready carton with a GS1 barcode, a warning-labelled polybag and a hangtag is a different bill of materials from bulk pack, and a different carton volume, which changes freight.
Inspection access and AQL 2.5: how it runs, who attends, and what follows a fail
Pre-shipment inspection on every wholesale programme runs to AQL 2.5 under the ISO 2859-1 sampling plan, normally at general inspection level II with single sampling. A statistically defined number of cartons is drawn at random from the finished, packed shipment and the units inside are checked against the approved sample and the written specification. It is not a look at the top carton, and it is not a promise that every unit is perfect; it is an agreed risk threshold, and naming the standard means both sides read the same acceptance table.
Buyers may attend in person, and many do on the first run of a programme. Where travel is impractical, a third-party inspection body of the buyer choosing is booked into the same window: SGS, Bureau Veritas, Intertek and TUV all work to the same ISO 2859-1 tables, so the acceptance decision is comparable whoever holds the tape measure. Our production team books the slot, opens the cartons and provides the approved reference sample, the packing list and the retained test reports. Nothing about the inspection changes with who pays for it.
A fail is handled by defect class. Critical defects - a broken load-bearing stitch, a failed buckle, a baseboard that will not hold the rated band - stop the shipment, and the affected quantity is re-made and re-inspected. Major defects above the AQL 2.5 acceptance number trigger a full sort and rework at origin followed by a second inspection. Minor defects above the limit are sorted where the economics allow, or accepted with a written allowance and a price adjustment. The decision tree is agreed before production starts, not after the report lands.
One practical note saves a week. Call the inspection only when the shipment is packed and the carton count is final, and ask for the physical tests to be pulled on the same day: drop testing to ASTM D5276, rubbing to AATCC 8, shade to ISO 105. Those results are slow, and on a programme running 35 to 50 days of bulk production a week of test time is the difference between making and missing a vessel.
